Overcommunicator Confessions: Avoiding Fire Drills

What do you consider a “fire drill”?

For me, it’s any moment where you’re forced to be reactive instead of proactive, scrambling, patching, chasing… instead of executing with intention.

My not-so-secret weapon? A mix of tools + (probably excessive 😅) communication.

Yes, I’m an overcommunicator. Proudly. Because in my experience, overcommunication is what prevents the fire drills in the first place.

Clear timelines.
Visible deliverables.
Shared expectations.
No surprises.

But more importantly, how that communication shows up matters. I’ve learned that being a strong leader isn’t just about building the plan, it’s about meeting people where they are so they can actually execute it.

Some people want to talk it out live.
Some want a quick walk and chat.
Some need a visual guide or a step by step breakdown.
Others thrive with structured templates inside project management tools.

None of those are wrong.

The job is figuring out what unlocks clarity faster for each person so the entire team can move forward without friction.

At least, that’s how I approach it.

Curious, what tools, systems, or methods have you found most impactful for staying proactive and avoiding fire drills?

I’m always looking to learn what I haven’t tapped into yet.
